Quick answer: A “HIT” means your name matched something in the NBI database — most often a namesake (someone with a similar name who has a record). It is not a finding against you. NBI staff verify manually, which typically takes 5–10 working days, at no extra fee. Separately: the NBI clearance validity period is 1 year from issuance, and anyone can confirm a clearance is genuine through NBI verification — scan the QR code on the certificate or enter the NBI ID number in the portal’s online verification section.

NBI Clearance Validity: How Long It Lasts

The NBI clearance validity period is 1 year from the date of issuance — printed on the certificate itself. Three practical notes:

  • The 6-month rule is the requester’s, not the NBI’s. Many employers, embassies, and agencies require a clearance issued within the last 6 months. A technically valid 10-month-old clearance can still be rejected by whoever asked for it — always confirm their recency requirement before you apply or renew.
  • There is no grace period. Once the year lapses, the clearance is expired, full stop. If a deadline is coming (visa filing, job onboarding), renew before you need it.
  • Renewal starts a fresh year. Renewing does not extend the old certificate — you receive a new clearance with a new 1-year validity from its own issuance date.

NBI Online Verification: How to Verify Your Clearance

NBI verification confirms a clearance is genuine and matches the NBI database — useful for employers checking an applicant’s document, and for you to catch typos on your own copy. Two ways, both on the official portal (clearance.nbi.gov.ph):

1. Scan the QR code. Newer clearances carry a QR code — scan it with your phone camera. It should resolve to an official NBI page showing the holder’s name, photo, and NBI ID number. If the code is unreadable or points anywhere outside an official NBI domain, treat the document as suspicious.

2. Enter the NBI ID number. Open the portal’s NBI Clearance Online Verification section and type the NBI ID number exactly as printed on the certificate. A genuine, active clearance returns the holder’s details and a valid status; “no record found” means the document is fake, mistyped, or expired.

Never buy a clearance from fixers or social-media sellers — forged clearances are void, and using one can create criminal liability.

What a HIT actually is

When your application is encoded, the system compares your name and details against the national database. A HIT fires when there is a possible match — it means “look closer,” not “guilty.” Common triggers:

  • A common name shared with someone who has a record (the #1 cause — think Santos, Reyes, Dela Cruz, Garcia)
  • A minor record discrepancy (name spelling variants, old encoded data)
  • An actual case or derogatory record attached to your identity

The counter staff cannot tell you which one it is on the spot — that is what the verification period is for.

What happens next: the timeline

1. Day 0 (your appointment): biometrics done as normal. Instead of same-day release, you are given a return date — typically 5–10 working days out (some branches say 8–10).

2. Verification period: NBI personnel manually compare fingerprints and records to determine whether the match is really you.

3. Return date: come back with any documents they asked for. If the HIT was a namesake or discrepancy, your clearance is released.

4. If the record is really yours: see below — you will need court documents, and issuance may be withheld until resolved.

No additional fee is charged for HIT verification. The ₱155 you already paid covers it.

Documents that help clear a HIT

Bring what the branch asked for. Commonly requested:

  • Additional valid IDs (the more identity documents, the better)
  • PSA birth certificate (proves your identity details)
  • If the matched record involves a case you were part of that was dismissed or settled: a Certified True Copy of the court clearance, order of dismissal, or decision of acquittal. Without these, the HIT will recur every time you apply — the NBI cannot update its “Remarks” section on your word alone.
  • Affidavit explaining discrepancies, if advised

If an active warrant or uncleared case is verified as belonging to you, issuance is legally withheld pending judicial resolution or submission of a court clearance / certificate of finality.

How to verify your NBI clearance online

After release, newer clearances carry a QR code you can scan to verify authenticity — or confirm it at the issuing branch. Never rely on a clearance bought outside official channels — fixers’ documents are void and can create legal trouble.

NBI clearance from abroad (OFW guide)

If you are outside the Philippines, you cannot use the online appointment system — there is a mail-based process:

First-time applicants abroad (or no retrievable old clearance)

1. Get NBI Form No. 5 (fingerprint card) from the nearest Philippine Embassy or Consulate — the form itself is free.

2. Have your fingerprints taken (rolled impressions) — the embassy does this for a fee (varies by country), or a local police station can do it with an officer’s signature and designation on the form.

3. Attach a recent 2×2 colored photo (white background, taken within the last 3 months — no sleeveless attire, no blurred/low-quality photos).

4. Include a photocopy of your passport and one other valid Philippine government-issued ID.

5. Register on the NBI portal and note your reference number to include with your documents.

6. Appoint a representative in the Philippines with an authorization letter or Special Power of Attorney — they will transact with NBI Manila on your behalf (and with DFA if you need the certificate authenticated).

7. Send everything to the Mailed Clearance Section, 3rd Floor, NBI Clearance Building, UN Avenue, Ermita, Manila, with a ₱200 money order/bank draft payable to the NBI Director (cash also accepted per some guides).

8. Processing takes about 5 days from receipt of complete documents; the certificate is released to your representative, who sends it to you.

For married women: write your name in this order — maiden surname (father’s surname), husband’s surname, first/given name, maternal surname (mother’s family name).

Renewal from abroad (2014+ clearances, no data change)

Simpler — mail the following (no new fingerprint card needed):

  • Copy of your old NBI clearance
  • Copy of your passport data page
  • Two 2×2 photos
  • ₱200 processing fee

Addressed to the Mailed Clearance Section (address above). Or authorize a representative in the Philippines with a letter of authorization — they submit at the Mailed Clearance Section window.

Troubleshooting

My return date passed and the branch says “not yet cleared.” Ask for the specific reason and a new definite date — and which office/unit is handling the verification. Keep your claim stub and reference number; do not re-apply from scratch (that creates a duplicate record).

HIT keeps recurring on every application. This means the underlying record was never resolved with documents. Get the Certified True Copy of the dismissal/acquittal/court clearance and present it — until the NBI updates its remarks, the flag will keep firing.

Embassy has no NBI Form No. 5 in stock. Ask when the next batch arrives, or request it by mail with a self-addressed stamped envelope. Do not substitute a homemade fingerprint card.

Representative was turned away at NBI Manila. The usual causes: missing authorization letter/SPA, or the representative’s own valid ID missing. Both are required — the SPA for DFA authentication steps especially.
